RESULTS lists are displayed in order of the most hits. It may be more convenient to sort the list
by a different order, i.e., by OWNER or by DATE, in ascending or descending order. RESULTS
lists can be sorted by any formatted field or fields.

With the RESULTS list displayed:
1. Press [F2] then [F3].
2. Type the Formatted_field name and press [Enter].
a. Press [Enter] again to sort in ascending order.
b. Type "R" and press [Enter] to sort in descending order.

If you want to sort by more than one field, repeat step 2. When you finish
entering your sort criteria, press [F4].

When SEARCHmate is finished sorting, the BROWSE MENU will be displayed. Type "1" and
press [Enter] to choose Browse selected documents. The BROWSE LIST will
appear with documents listed in the sort order you specified.

Columnar reports enhance the utility of a database by letting you summarize documents in a form
that is tailored to your needs.
RESTRICTIONS: Columnar reports use only formatted fields. Reports are limited to no more
than 132 columns (characters) in width.

From any search screen, press [F2], then press [F4], to display theBROWSE MENU. Type
"2" and press [Enter] to select Create a columnar report.

The box in the lower left corner of the screen will prompt you for information:

Type the Report_title and press [Enter].
Type the Number of spaces you want between columns.

The number in "angle brackets" (<n>) is the default number of spaces. Press [Enter] to accept
the default value, or type a new number and press [Enter] to change the value.

Next, type the Formatted_Field name or its abbreviation and press [Enter]. Type the
number of spaces for the column width and press [Enter] or press [Enter] to accept the
default value in angle brackets.

Repeat until you finish selecting fields for your report. A character counter
will keep track of the number of columns (characters) remaining as you add fields to your report.
In the screen above, 57 characters remain.
If you exceed 132 columns, you will see the message below:

When you finish selecting fields, press [F4]. Your report will be created and displayed on your
screen.

If your report is wider than your screen, press the RIGHT ([Rt]) arrow key to view the right
side of your report. Press [Enter] to view the next screen. Continue pressing [Enter] to
view your report one screen at a time. At the bottom of the report you will see the message on
the right.
NOTE: It is not possible to view previous screens of a report. You must press [Enter] until
you reach the bottom of the report. Press [Enter] again to view the report again.
Press [F4] if you want to create a new report.
Press [F3] to create a print file. See Printing with SEARCHmate.
SEARCHmate allows reports, documents or RESULTS lists to be printed to a file or to the
printer attached to your computer.
Creating a Print File
After creating any of the print files described below, see. . .
. . . Printing to Your Printer, if you want to print any documents or reports to your printer.
. . . Downloading with SEARCHmate, if you want to download any documents or reports to
your computer.
Columnar Report Print File
With a columnar report displayed, press [F3]. The message:
Building print file . . .
will be displayed. When the print fill is complete you will see the message below:

Press [F1] or press [F2].
RESULTS List Print File
From any search screen, with a RESULTS list displayed, press [F2], then [F4]to display the
BROWSE MENU. Type "3" and press [Enter]to select Print list of selected documents. The
message:
Building print file . . .
will display. When finished, the BROWSE MENU will be redisplayed.
Single Document Print File
With the document you want to print displayed on your screen, press [F3] then [F2]and a print
file will be created. Press [F4] to return to the search screen.
Repeat this step to create print files for other documents.
Press [F1] or press [F2].
Printing Several Documents to a Print File
This will print the contents of all documents in a RESULTS list to a file.
There are two types of files that can be created: formatted and unformatted text files.
Formatted Text Files
Formatted text files contain formatting -- page numbers, page breaks and titles that appear on
each page.
From any search screen with a RESULTS list displayed, press [F2] then press [F4] to display
the BROWSE MENU. Type "4" and press [Enter] to select Print text of selected documents.
The message:
Retrieving document 1 of 5
will display. When finished, the BROWSE MENU will be redisplayed.
NOTE: If your RESULTS list contains more than ten documents, SEARCHmate will ask if you
really want to print them all. Type "Y" and press [Enter] to continue creating the print file.
Unformatted Text Files
Unformatted text files contain no formatting -- no page numbers, no page breaks and no titles.
Create this type of file if you are going to use a word processor to edit the file.
From any search screen with a RESULTS list displayed, press [F1], then type "3" and press
[Enter] to select the Special Features Menu.
Type "5" and press [Enter] to select Export documents to a VAX/VMS file.
Press [Enter] to accept the default device/directory.
Press [Enter] to accept the default Export file name or type a new file name and press
[Enter].
NOTE: A new file name must conform to DOS file naming standards (no more than 8
characters). The EXP extension is automatic and does not need to be typed.
If everything is correct, type "Y" and press [Enter]. The message:
Document: 1 of 5
will display. When finished, the message below will display.

Press [F4] to exit SEARCHmate or type "1" and press [Enter] to get to the SEARCH
MENU.
NOTE: Unlike other print files, this file cannot be printed directly to your printer. It must be
downloaded first. See Downloading with SEARCHmate.
Printing to Your Printer
NOTE: This will print only 80 columns of your report. If your report is greater than 80 columns
in width, only the leftmost 80 columns will print. Reports greater than 80 columns in width must
first be downloaded before printing. See Downloading with SEARCHmate for instructions.
Once you have created a print file, you are ready to send it to the printer attached to your
computer. See Creating a Print File for instructions on creating a print file.

From the BROWSE MENU, type "P" then press [Enter] to select Print reports on
terminal printer. Press [Enter] again to view a list of print files.

Type the number of the print file you want to print and press [Enter]. Type
"P" to print only; "D" to delete only or "PD" to print then delete the file. <P> is the default.

Repeat this step for each file you want to print. Select the P and D options you want for each
report.
When you finish, press [F4]. If you are printing, SEARCHmate asks if you are using a DEC
printer. Type "N" then press [Enter].

Press [Ctrl][Printscreen]then press[Enter]. Your report will print to your printer.
It will also be displayed on your screen.
NOTE: If you do not press [Ctrl][Printscreen] before pressing [Enter], your
report will display but not print.
IMPORTANT: When the report is finished, press [Ctrl][Printscreen]again then press
[Enter].
Technet has added the ability for you to send both single and multiple documents to your email account using the printer function. You can then get your mail and print it. First, you must perform a setup.
Setting up Email to Yourself
Enter any searchmate database. Press [F1] for the main menu. Press 3 for the Special Features menu and 3 again for change printers and other defaults. Press the down arrow twice to get to the "Printer 2 is assigned to" line. Enter @db_system:email_reports.com and press [Enter]. Press [F4] (for All Done). Enter Y and press [Enter].
Now, whenever you wish to email to yourself, select printer 2 and the file or files will be mailed to you. See below for more information.
Emailing a Single Document
While viewing documents in a word search or formatted field search, press [F3] (for Other Keys) and [F2] for Print Document. Type 2 to select printer 2. You will then be given a prompt allowing you to enter a different email address if you wish. If you want it send to your Technet account, simply press [Enter],otherwise type the email address you wish the document to be sent to and press [Enter].
Emailing Multiple Documents
If you wish to email multiple documents, first you must make a match of several documents with a word search or formatted field search. Once you have a list of hits, press [F2] and [F4]. Press 4 to select print text of documents. You will be asked You will be printing XX documents. Is this your intent? Press Y if you do want to mail however many documents. You will then be given a prompt allowing you to enter a different email address if you wish. If you want it send to your Technet account, simply press [Enter],otherwise type the email address you wish the documents to be sent to and press [Enter].
NOTE: Sending multiple documents to yourself can create very large email messages of 1 Megabyte or more. You should be aware that downloading this size file over a modem will take quite a bit of time (10 to 15 minutes or more). Generally speaking, try to narrow your search down as much as possible.
